Notice to Agents Regarding Obtaining a Client Number

When an agent assigns assessment work credit on behalf of a recorded holder, the agent requires authorization in writing from the recorded holder. At present we have no unique way to identify an agent and no mechanism for an agent to change his/her address in our database. This results in the possibility of correspondence being forwarded to incorrect addresses and redundant records in the database.

The CLAIMS database contains twelve D. Smiths as recorded holders but their client number uniquely identifies each one. The agents database has been integrated into a new CLAIMS II database. To improve accuracy and efficiency of the agents database and to provide a unique identifier all agents who file assessment work on behalf of a recorded holder are encouraged to obtain a client number. An Application for a Client Number can be obtained at any Mining Lands office.

Agent authorization letters should include the agent's client number and address so that the agent is uniquely identified. An agent whose address does not match the address in the database will be requested to update their address as all correspondence will be automatically directed to the address in the database.

Approximately 75% of the current agents already have a client number. If you have a client number please use this number when corresponding with the Mining Lands Section.

Advantages for the Agent

  • Ensures the correct person will be authorized as agent 
  • Ensures correspondence will be sent to the proper person, at the correct address
  • Assessment work forms can be modified to make them more user friendly, as they will only require the agents name, signature and client number
  • A change of address will only be required once for all Mining Lands correspondence

Note: Policy GA 401-2 addresses the issue of Change of Address.

Currently legislation requires only the "licensee or holder" to notify the recorder, in writing, of a change in address. Agents who wish to receive correspondence that may affect the land tenure of claims for which they have authority must also keep their address current.

Company Officers

Certain officers of a company do not require authorization as an agent to file assessment work. To continue to be identified on the attention line, these company officers will also require a client number. Without a client number the correspondence will be addressed to the company only and the officer's name will not appear on the attention line.
